How to Manually Send Material in Contacts with Email or Text

Discover how to manually share material images, PDFs, and videos with one or more contacts within the Contact Manager Contacts tool.

*Note: With this feature, you can manually email one or more Contacts. If you plan on sending Material to more than 200 Contacts, we strongly encourage you to create an Automation to send the content to the grouping to help with deliverability.

There are two choices to send a manually created Text or Email in Contacts:

Single Contact: Select a single Contact by keyword search, then click on the box on the left-hand side of the Contact list in Contacts. Click on New Email or New Text on the Contacts banner at the top of the page.

*Note: Contacts does not offer group texting. You can choose a single contact to text from that page.

Multiple Contacts: Use the Contacts Filter to create a list of up to 200 Contacts by clicking on the top left box of the Filtered results. You may see a "select all" result for your filtered list; click the prompt in the middle of the banner to opt to send to the filtered list. Click the boxes to uncheck and remove any Contacts you do not want to send the Email or Text to.

Open a Single Contact Record or Filter Multiple Contacts for a bulk email under 200 recipients.

*Note: You can add emojis, schedule it for the future, add a personalization token, or use ChatGPT to help craft the message.

Email: Add the subject line and content to the description area by manually adding text or clicking the "Template" three-line icon at the bottom of the email tool and inserting a pre-made email template you have created. Then, click the "Materials" button at the bottom left of the email tool. After that, click the box on the Material/s you want to insert into the Email.

Text: Manually add text or click the "Template" three-line icon at the bottom of the text tool and insert a pre-made text template you have created. Then click on the "Materials" button at the bottom left of the text tool. Click the box on the Material/s you want to insert into the Text. Now, you can add emojis, schedule it for the future, add a personalization token, or use ChatGPT to help craft the message.

*Note: you MUST have a subject line to be able to send the email.

There will be two "Send" options depending on how you set up the Material Email or Text:

Send Immediately: Click the blue "Send" button to send a message now.

Scheduled with Clock Icon: Click the blue "Schedule" button to add the message to the outbound queue for the selected future date and time.

This will also add a "Scheduled" tab on the Contact Record, where you will see the listed Scheduled Material Email.

*Note: Video "watched" statistics may vary based on the email service used by the Contact. Several email clients, such as AOL, Gmail, and Yahoo, do not support embedded videos.
